There’s something special about traveling in a big group — the noise, the laughter on the bus, group photos where someone always blinks, and stories that get retold for years afterward. But behind all that fun, there’s logistics that need serious thought.

This guide is for whoever ends up as the group coordinator — from a big extended-family gathering, a school study tour, to a community or organization planning a trip to Yogyakarta together.

What’s the Ideal Group Size?

Technically, there’s no upper limit. But a few “key numbers” affect your transport and logistics decisions:

• 7–12 people: One minibus (Hiace or Elf) is enough
• 13–20 people: One medium bus or two minibuses
• 21–40 people: One large bus (48–50 seats)
• 40+ people: A bus convoy, requiring tighter coordination

Fleet Options for Group Travel

Hiace / Elf (10–12 passengers) Flexible in narrow alleys, easy to park, and comfortable for small groups. Decent luggage capacity.

Medium Bus (20–25 passengers) A solid middle ground. More spacious than a Hiace but not as large as a full-size bus.

Large Bus (45–50 passengers) For big groups. Some come equipped with AC, a TV, even a restroom. Choose one with a valid roadworthiness certification — this matters.

Best Destinations for Large Groups

Not every spot is comfortable for a big group. Here’s a more group-friendly list:

Borobudur & Prambanan — well accustomed to large groups, spacious grounds, bus parking available.

Malioboro — most fun enjoyed in smaller clusters (split into groups of 4–6 for shopping, then regroup at a meeting point).

Parangtritis Beach / Pantai Baru / Depok Beach — open areas, plenty of room for large groups. Depok Beach is great for eating fresh fish together.

Mangunan Pine Forest — a hugely popular photo spot, but spacious enough that it doesn’t feel too crowded.

Tebing Breksi & Prambanan — a combination frequently used since they sit close together.

Tricks for Managing a Large Group

Split into sub-groups. A large group moving all at once through a single spot is often inefficient. Split into 2 to 3 sub-groups with their own coordinators, then set a meeting point and time.

Set a “ready on the bus” rule. If the schedule says departure at 8, that means everyone needs to already be on the bus by 8. A one-minute delay can snowball into half an hour.

Set up two communication points. The main coordinator communicates with the driver/tour leader. Each sub-group coordinator communicates with the main coordinator. Avoid an overly busy WhatsApp group where messages get buried.

Hand logistics over to the tour leader. If you’re using a tour operator, use them fully — ask about entry tickets, parking, visit order, and even food stall recommendations. This is what they handle every day.

On Feeding a Large Group

This is often a critical point. A few tips:

• Pre-order if you can. Restaurants that accept large groups usually need at least a day’s, sometimes three days’, notice. Coordinate this well in advance.
• Offer a vegetarian option. There’s almost always someone in the group who doesn’t eat meat or has dietary restrictions.
• Avoid overly upscale restaurants. Group budgets tend to vary — pick something everyone can agree on.
• Beachside seafood stalls — an option that almost always works for large groups since it’s cheap, fast, and usually has enough capacity.
